When a patient books online, TeethCare matches them to an existing record by email or phone before creating anything new. Reception gets a warning if a record with the same contact details already exists — and can still add a separate one deliberately (family members sharing a phone, for example).

Public booking asks only for what a front desk needs to confirm a visit — name, email, mobile, optional date of birth and reason. Clinical and insurance details are not requested from patients online. Records belong to exactly one clinic and every query is scoped to it in the database.

FAQ

Patient record questions

How are patients created?

Automatically when they book online (matched to an existing record by email or phone), or by reception in a few fields. Reception is warned about possible duplicates and can override deliberately.

What can I search by?

Name (partial), phone (any formatting), email, or the patient ID printed on confirmations. Search-as-you-type works from the patient list and from the new-appointment form.

What patient data is collected online?

Only name, email, mobile, optional date of birth, an optional reason for visit and a consent checkbox. No clinical, insurance or payment details are requested from patients online.

Can a patient’s record be deleted?

Owners and admins can remove a record: contact details are erased and upcoming appointments cancelled, while anonymised visit counts remain for reporting. Appointment history can be exported to CSV at any time.

Is clinical charting included?

Not in version 1, by design — the front-desk workflow comes first. The record is built so charting, treatment plans, documents and insurance attach later without changing what reception uses today.

Can dentists see patient records?

Dentists see the records of patients on their own schedule and can add notes and update appointment status; they cannot change clinic settings.
